Receptionist/Administrator

We are looking for a polished, proactive, and highly organized Receptionist/Administrator to be the welcoming face and operational backbone of our client’s fast-paced advertising agency. This role combines front-desk responsibilities with administrative support, ensuring smooth day-to-day operations and exceptional client service. Duties and Responsibilities
Greet clients, visitors, and staff with professionalism and warmth.
Manage incoming calls, emails, and correspondence efficiently.
Schedule meetings, coordinate calendars, and assist with booking appointments.
Maintain organized filing systems (digital and physical) for client and agency records.
Assist with invoicing, purchase orders, and basic bookkeeping tasks.
Prepare documents, presentations, and reports as needed.
Manage office supplies, equipment maintenance, and vendor coordination.
Support HR and management with onboarding, staff communications, and event planning.
Liaise with clients and suppliers to ensure timely responses and follow-ups.
Ensure the reception area and meeting rooms are tidy and presentable at all times.

Experience and Qualifications
Minimum of a certificate or diploma in Business Administration, Office Management, or related field.
2+ years of experience in a receptionist or administrative role, preferably in a creative or media environment.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Proficiency in Microsoft Office Suite and familiarity with scheduling or CRM tools.
A flair for working in a creative, fast-moving environment.
